GMCI processes personal data on the following bases: performance of a contract or agreement (delivering training and certification you applied for); consent, given through signed application and authorization documents; compliance with legal and regulatory obligations; and legitimate interests in operating a secure, impartial certification body, including fraud prevention and examination security.

As part of eligibility review, GMCI verifies academic credentials and professional experience with the issuing institutions and employers named in your application. This verification is performed only on the basis of the authorization you provide when you apply, is limited to confirming the documents submitted, and is handled confidentially.

Certification status (for example, whether a certificate is valid) may be confirmed to third parties through GMCI's certificate verification service.

7. Confidentiality and access control

Candidate and certificant information is treated as confidential. Access is role-based and limited to authorized personnel who need the information to perform their function. Personnel sign confidentiality agreements, access grants and revocations are logged, and access is reviewed quarterly. Examination content is restricted with additional controls.

GMCI stores records in controlled systems with role-based access, encryption for restricted content, backup arrangements, and chain-of-custody handling for physical examination materials. Security incidents affecting personal data are handled under documented procedures, and affected individuals are notified where legally required.

9. Retention

Personal data is kept only as long as needed for certification, legal, and accreditation purposes, under GMCI's retention schedule. Key periods include: certification records — life of the certification plus 5 years after the final status change; examination records — 3 years after the session; complaints and appeals records — 6 years after closure; training-partner records — life of the agreement plus 5 years. When retention ends, records are securely destroyed or deleted under documented disposal approval, subject to any legal or accreditation hold.

Subject to applicable law and GMCI's certification-record obligations, you may request: access to the personal data GMCI holds about you; correction of inaccurate data; deletion of data that is no longer required; and restriction of, or objection to, certain processing. Requests are submitted through GMCI's published contact channels and are answered within a reasonable timeframe. GMCI may decline requests where retention is required for certification integrity, legal, or accreditation purposes.
